This brief tells the venue exactly what to execute on the night, drawn from the Boathouse table scaping brochure. The guiding principle is simple and warm — platters will be passed along the table, so the surface stays open and the styling never blocks the food or the sightlines across the table.

Table layout notes

  • Centrepiece line, with gaps. Pampas and candle holders form a single low line down the centre. Leave clear gaps between them and at the middle of each long side so sharing platters can be set down and passed without moving anything.
  • Nothing above eye-line. All centrepiece elements stay below seated eye-line so guests see each other clearly across the table.
  • Lighting. Warm candlelight on the table only. No overhead spotlights over the table once service begins; keep room ambient lighting dim.

Menu Print-Outs (we supply)

We print our own menu cards to match the brand. The venue’s scalloped menus are not used.

  • 32 menu cards + a few spares, supplied by us (not the venue).
  • Card size: A6 (105 × 148mm), 300gsm uncoated, warm ivory/cream to match the beige cloth.
  • Single-sided — five-course tasting menu. Event title and date at top, small brand mark at foot.
  • Serif type, dark ink with a thin gold rule. No imagery. No scalloped edges.
  • Place one card centred above each placemat, slightly tucked under the napkin fold.
  • Wording already prepared on our PrintMenu page — confirm final copy with Chef Mona before printing.

Name Tags / Place Cards (we supply)

We print our own place cards. The venue’s cursive name cards are not used.

  • 32 tent-fold place cards, supplied by us (not the venue).
  • ~90 × 50mm folded, matching ivory card stock.
  • Guest first name in serif, large; surname smaller beneath. Dark ink — no gold on the name itself.
  • Hosts — Scott (head top) and Stephen (head bottom) — marked “Host” in small italic.
  • Laid out per the separate seating sketch (SeatingPlan page).
  • Dietary notes (non-alcoholic, no pork, no seafood) marked in pencil on the back of the relevant cards.

Welcome Sign (redo)

Replace the existing welcome sign with a minimal, warm, editorial version.

  • Replace the existing welcome sign. Freestanding or easel-mounted at the entrance.
  • A2, ivory/cream board, serif type, small brand mark, one low motif (single dried stem or hand-drawn line). Nothing else.
  • Wording: “Kumba Table — Dance | Kutamba | Ukugida. 16 August 2026. Please take your seat.”
  • Warm and editorial — not a bright printed poster. Add a direction arrow to the room if the entrance is not obvious.

Setup Timeline

  • 5:30 PM — Venue access. Beige cloth down, linens, napkins set.
  • 6:00 PM — Pampas centrepiece line + candlelight placed with gaps for platters.
  • 6:15 PM — Our place cards and menu cards laid per the seating sketch.
  • 6:30 PM — Welcome sign in place. Candles lit. Final table pass.
  • 7:00 PM — Doors. Guests seated.
